NAFA Executive Board Meeting

June 2, 2009

Board Members Present:

Archana S., Ayodhya B., Bharat A., Kiran S., Mahesh L., Pratima S., Shreedhar R.

New Meeting Date and More: NAFA board meetings will now be held every first Wednesday of the month, starting in July. We’ll return to the weekend schedule during fall, after Dasai. Agenda needs to be distributed by the 22nd of the month. Minute taker submits draft minutes to secretary within 3 days of the meeting for review and distribution within 5 days. If no corrections are submitted by board members within 3 days, minutes will be considered approved. In case only even number of board members are present during a need to vote, VP will abstain.


Topics Covered:

1. New Executive Board Members: Board welcomed newly elected members Mahesh Shrestha, Naresh Shrestha, Archana Dwa and Bedanidhi Dahal

2. Brat Fest: Very successful with all spots filled by volunteers. No figures are yet available but when received, SR will send thank you e-mail to all including, individual letters to non NAFA members who volunteered. The goal for future is to maximize involvement both at Brat Fest and Gift Wrap as not to miss this great opportunity to raise funds.

3. Summer Picnic: AS will coordinate the event. AB will inform community of event along with related fees (13+ = $10, 6-12 = $5, under 6 = free). **Guests will be charged an additional $5. Children of the guests ages 6 to 12 will be charged $5 and children under 6 will be free, same as members. Both member and non-member adults will be charged $5 for late fee, received after June 27 deadline.

4. Children's Day: Manoj Kansakar will coordinate the event but will need three or four adult helpers, possibly Archana S., Bandana S., Anima VP, Bindu L., Shreejana A. (to be decided at next meeting when Archana Dwa attends). He suggests doing it in 2 parts. It’s too difficult to do all at once.

5. Membership Dues: Dues need to be collected from Archana Dwa, Manoj K. SR will contact MK to clarify donation vs. membership fee as well as his pending Dasai fee for last year. Board decided donation can not be considered life membership.

6. Music Equipment: Tentative plans to rent music equipment at $25 for NAFA members and $50 for non-members for events outside of NAFA community.

7. Pots/Pans Purchase: KS, PS and AS will research and purchase all specified items within $500 budget limit.

8. Banner: Naresh and Arati Shrestha have donated a banner to NAFA for its New Year/Dasai celebrations. NAFA community children began painting a banner at last year’s Children's Day celebration which when completed will also be used for functions. **Manoj Kansakar needs to be reimbursed for materials he bought for Children’s Day.

9. Treasurer’s Report: Updated bank statement and new membership list was shared. Four families became new members, making a total of 52. There are 10 life memberships.

10. Scholarship: Announcement to be made after criteria reviewed by NAFA board.

11. Membership Drive: In order to collect missing dues, President will call all members with missing dues during two week period, requesting that dues be paid. Dues that are not paid on time will incur a $5 late fee.

12. Fund Raising: Request for information on corporate donation history and leads.

13. Fund Raising Dinner: Discussed having one during August for a limited number of people. KS will check with Wilmar Center for availability. Will continue discussion at the next meeting. Also need to explore liability issues.

14. PS will draft a letter for fund raising and MOU for cooking utensils similar to the one done for music equipment.
